From greeting you when you arrive to closing out your account, our team goal is to assist you in navigating your health care costs and payments. We also hope to help you understand the requirements of healthcare information gathering and disbursement.

Onboarding and Registration

Therapies are based upon referrals and orders from your primary care provider. Once we receive those orders, we will reach out to the potential client and collect necessary patient details, including insurance.

Scheduling

Therapy appointments are typically reoccurring and set at the time you leave the evaluation. Automatic reminders will be sent one day before your scheduled appointment. Please, call if you are unable to attend.

Reception and Records

Reception will greet you and take your payment at time of service. They will explain any charges if needed. These explanations are determined by your insurance provider.

Billing

The billing team is responsible for handling all insurance claims and reconciliation of accounts.

If you have medical insurance, we submit claims to your payer and follow through to completion.

NOTE for adult Medicaid clients: You will be asked to pay up front until payment is received. Once the state has completed payments, monies will be credited or refunded.

If you choose a self pay option, or additional money is owed after insurance coverage, your account statement will be billed via QuickBooks. We request timely payment of service as our providers are paid for services rendered.

***We cannot change insurance policies. Ultimately, you are responsible for all dispute of remaining charges with the insurance provider.***


Key Terminology
Deductable - A deductable is the set amount of money that you are going to pay before the insurance company policy begins payout.
Co-insurance - A set amount of money that you pay in addition to your insurance policy determinations.
Co-pay - A percentage of the care cost determined by the insurance policy.
Denied/Not covered/Not eligible - When certain treatments are not covered by the insurance policy. Care is not paid for by insurance policy and will be charged out of pocket.
